A note on auto-generating lot numbers
Our app defaults to auto-generating lot numbers which is a very beneficial feature for expediency when cataloging solo. But when working as a team, it is suggested this option is turned off so you can control which lot number is used during the cataloging process with your team.
This setting can be adjusted by the catalogue owner in the app by navigating to
- Manage My Sales
- Selecting current sale you are working on
- Click on the Gear Cog Icon (Catalogue Settings) in the top right corner
- toggle off Auto Generate Lot Number.

When working as a team to catalogue an auction using the Maxsold App, it is important that each team member works within clearly defined ranges of lot numbers. This helps avoid errors, data loss, or duplicated work that can occur when multiple people are working on the same lot numbers.
For example, if you estimate your auction will include 90 lots:
With two team members
- Person A works on Lot #1 – Lot #45
- Person B works on Lot #46 – Lot #90
With three team members
- Person A works on Lot #1 – Lot #30
- Person B works on Lot #31 – Lot #60
- Person C works on Lot #61 – Lot #90
As you continue cataloguing, if additional items are added, the first person to complete their assigned range can continue with the next available lot numbers (e.g., starting at Lot #91).
Using Photo-Only + Smart Cataloguing (New Option)
You can also split responsibilities between onsite and offsite team members:
- Onsite team members can focus on creating lots by taking photos and adding notes (typed or voice)
- Offsite team members can use Smart Cataloguing to generate titles and descriptions based on those photos and notes
Even when using this workflow, it’s still important to assign specific lot number ranges to each team member to keep everything organized and avoid overlap.
